Meeting Summary

  1. Trisha Davis and Rocki Strader demonstrated the ERM (Electronic Resources Module). Trisha explained the relationship between a bib record and a resource record, explaining that the resource record has the potential to hold a lot more detailed information, although it has yet to be decided just how the record will be designed. The idea is to consolidate information about electronic resources, and to potentially load access and title information currently stored in the DoD (Database of Databases) into ERM to save on workload.
    Discussion ensued regarding indexing and public display of records.

  2. Nancy Helmick demonstrated the many uses of Millenium Statistics, including the following points:
    1. Save reports online;
    2. Save or extract previously saved query;
    3. All fixed-length fields available for use;
    4. Apply SCAT analysis to all reports;
    5. Set FY for any month range for each separate accounting unit;
    6. Use “fastest accumulation;”
    7. De-dup a file automatically;
    8. Report on linked records;
    9. Schedule reports (do them overnight or other low-use times);
    10. Export to a Windows-based format (Excel, Word).

    There are three types of statistical reports:
    1. Field Statistics;
    2. Periodic reports (years, quarters, months, days), using MFIS too (i.e., the daily record Nancy has kept of the last record number on the system);
    3. Cross-tab report.

    Nancy stressed that it is easy to create an unnamed report, so be sure to pay attention and name your report.
    Discussion followed on the pros and cons of creating lists in Millenium and in telnet.

  3. Sally Rogers handed out a summary of the project to survey recipients of communications from OSUL Technical Services on how they might be improved. Eleanor Block, Mary Rider, Lisa Iacobellis, and Noelle Van Pulis will serve on the work group to design the survey.

  4. Tschera Connell brought up the issue of location codes for streaming videos. There was discussion about whether it was worth it to have a separate code for every last format, and it was decided that it was, for now.

  5. Send items for future discussion to Sally.
