ELECTRONIC RESOURCES MANAGEMENT

Laura Tull gave a presentation on the New Electronic Resources Management (ERM) system, which was developed by Innovative in partnership with OSU Libraries.

Discussion centered around:

Record structure - this differs from the usual record in that resource information is just as important is bibliographic information. The records also include license information, contact information, and other items,

The system has the capability to notify librarians through email when a license will expire, or anything else desired.

It also includes an incident log, can add user advisory notices, and can link to related bibliographic and check-in records.

It has the potential to identify duplicate subscriptions (ie, print and electronic)

ACQUISITIONS FUNCTIONS TO CHANGE TO MILLENIUM

The implementation schedule for III's Release 2005 was discussed by Marsha and others. After the release is loaded, all acquisition functions need to be accessed through Millenium. This means rewriting acquisitions procedures, retraining staff, and training collection managers to submit ORTs and check fund status via Millenium. Fall quarter break in December 2005 was suggested as a transition date. LAW and HEA have used MilACQ for several years but slow response time in Main has delayed implementation.

Laura Tull’s comments on this issue:

This will affect anyone who currently uses the character-based system for acquisitions and serials because certain menu options will disappear as outlined below.

Please pass this information on to the rest of Regionals. It would be helpful if you could assess which regional libraries use the menu options specified below. I know many of you have already started using Millennium. Connie Britton made a nice spreadsheet for me a couple of years ago outlining which regionals used which character-based functions and which used Millennium functions. I have a paper copy of it but not the original electronic document. I have cc: ed Connie to see if she still has this. What I would recommend is that you take this spreadsheet and update it to everyone's current status so we can gage where regionals are as far as use of Millennium vs. character-based. I can fax it to you if Connie can't locate original.

In Columbus, units are going through the process of converting each of their procedures to Millennium and at some point, when everyone is ready, we will install release 2005 and everyone will have to begin to use these new procedures. We have some slow network issues in our Tech Services areas so although we are trying to aim for December to at least convert the procedures, it may take longer than this.

You may already have this on your agenda for upcoming TSC but since this will affect HEA, LAW and Regionals as well, this is best forum for devising a plan of some kind.

Before we can move to release 2005 due out this summer, everyone will have to move their serials and acquisitions operations to Millennium. Don't panic. We can make some kind of plan but we know that we cannot move to release 2005 until everyone has moved to Millennium for the functions in blue below.

Here are the menu options (in blue) as I see it from message below that will disappear in character-based when we install release 2005.

  1. O > ORDERING and receiving subsystem and all the subsequent menu options

  2. M > MANAGEMENT information
    F > FUND reports
    V > Display VENDOR information

  3. A > ADDITIONAL system functions
    A > ALTER system parameters
    S > SYSTEM codes
    R > Addresses referred to by RLOC and BLOC

Changes to INNOPAC Character-Based Support with Release 2005

We're pleased to announce that our upcoming release, Millennium Release 2005, will introduce the ability for users of Millennium to store and retrieve completed invoices. As many of you know, this feature has been a popular and long-running IUG enhancement request. Not only will this new development permit the retrieval of an invoice, it will also mean that conversion rates and the original invoice amounts are stored, and thus will no longer need to be recalculated when the Output Vouchers function is used. Rounding errors will be a thing of the past. In order to implement this new feature, changes were made to the structure of the stored invoice data and, as a result, the INNOPAC character-based acquisitions and serials programs will not be able to interpret the new invoice record structures. Because of this, certain character-based menu lines will be automatically removed by the conversion to Release 2005 for Millennium sites. The "Ordering and Receiving Subsystem" line in Main Menu will be removed, thus also eliminating all subordinate menu options. In "Management Information," both "Fund reports" and "Display VENDOR information" will be removed. Under "Additional system functions," "Alter system parameters," the "Addresses referred to by RLOC and BLOC" will be removed. There are two menu options that need to be preserved. One is the "Print Worksheets" option in the "Ordering and Receiving Subsystem" menu. The other is the option in "Serials Processing" that is used on a one-time basis when converting routing files to use patron records. A new sub-menu will be created to offer these options. Non-Millennium, character-based only INNOPAC sites will not see changes to their Main Menu file after converting to Release 2005. The invoice functionality will not change for INNOPAC sites and all usage will continue as in prior releases. We're genuinely excited about the prospect of offering the increased flexibility and new functionality of the Release 2005 invoice records. We hope you all agree that the benefits of this new feature will more than compensate for the changes they necessitate. We believe that Millennium Silver is a good time for staff to fully transition to Millennium for their acquisitions and serials processing so that the conversion to Release 2005 will not require workflow changes.
