Meeting Summary

  1. Sally welcomed new TSC members Patty Grondin (SUL) and Lisa Iacobellis (RAR)
  2. Update on logistical issues related to the renovation/move (Marsha Hamilton)

    1. Mail
      Plans are being finalized for correct routing of incoming mail (USPS, FedEx, UPS, etc.) to new locations. A mail receiving/forwarding presence may remain in MAI until construction begins (late 2006).

    2. Location changes
      Dana DeRose (MOD/SER/SRI, Room 040) and Rocki Strader (CAT/SCCAT, Rooms 030 and 036) are the move coordinators for Technical Services. All move-related questions should be directed to Dana or Rocki who will either answer your questions or coordinate resolution with Ryan. Nancy Helmick is handling OSCAR location code changes, and has created a new “Thompson” location (tho_) for certain materials being moved from BSL, WMN, LAT and MIC (collections being split between Ackerman and Sullivant during the renovation). This location will display to the public as SUL until Thompson is re-opened.

    3. Forwarding of materials
      Wes reported that some newly received and/or processed materials will be held at MAI for a short period of time as necessitated by move issues at the holding locations during September. Delays will be minimized as much as possible. Marsha provided a reminder that locations outside MAI should now be holding all items needing attention from Technical Services until after moves have been completed (at least through September).

  3. Software and server upgrade (Rebekah Kilzer)

    Innovative software release 2006 and a new server will be installed during the quarter break between either summer and autumn or autumn and winter, depending on when the server purchase is finalized. The date will be announced in advance to allow planning for system downtime.

  4. Update from OhioLINK DMSC (Tschera Connell)

    1. Web standards for e-monographs, videos, ETDs, etc.

    2. Special programming for 856/956 fields in OhioLink Central
      To facilitate less confusing displays of links to online resources in OhioLINK Central, OhioLINK has paid for special programming to put URLs for resources accessible only to patrons of certain institutions in 956 fields instead of 856, which will be used for resources available to all institutions. In the central catalog, links in 856 will display directly below the publisher information, while links in 956 will display below the record with the institutional holdings information. No changes will occur in OSCAR (all links display directly below the publisher information). Programming is complete and requires release 2006 of Millennium for testing and implementation. OhioLINK plans to install 2006 release in Sept. and then begin testing. OSU may participate in the test if we upgrade soon enough.

    3. Vendor neutral records
      OhioLINK plans to merge electronic serial records in the central catalog to conform to OCLC practice of having all vendor versions of a title represented on the same bibliographic record. This will take place after the 856/956 implementation. In OSCAR, there will still be more than one record for certain titles (primarily those available through both Serials Solutions and other channels such as JSTOR).

  5. New location codes for electronic scores, streaming audio

    Tschera proposed using “wwo” (displays as Web Score) as the location code for electronic scores. Barbara Dunham proposed using “wwa” (displays as Web Audio) for streaming audio. There were no objections.

    On a related note, Sally mentioned that a price quote was received from Innovative to add scoping options for limiting searches to electronic resources, and that other options could be added at the same time for no additional cost. Suggestions are welcome. Web Services will coordinate discussion.

  6. E-book cataloging procedures (Magda El-Sherbini and Barbara Dunham)

    No official policy has existed concerning the addition of 856 fields to bib records for print books that are also available electronically. Cataloging has received some requests to add these links and would like to create a policy to cover the issue. It was agreed that in general, 856 fields will not be routinely added due to catalog maintenance implications; special requests will be considered on a case-by-case basis. A draft policy will be presented for approval at the next TSC meeting.

  7. Parallel records in OCLC (Noelle Van Pulis)

    OCLC currently allows separate parallel records for the same bibliographic item when cataloging agencies use different languages for fields such as physical description and notes. With the exception of records created by vendors such as Harrassowitz (having a 938 field), catalogers should create/derive a new record if the only existing record(s) contain non-English physical description and notes. Non-English descriptions in vendor records having 938 fields should be edited and upgraded, replacing the master record in OCLC (do not create/derive a new record in these cases). Note that the language of the item is not the issue; it is the language of the content of the catalog record, as identified in $b of the 040 field.   8. Regional campus item records (Sally)

    Mansfield campus does not shelve media separately from books they accompany and would like to have just one item record in such cases, which would be an exception to OSUL practice. It was agreed that this should be discussed among regional campus libraries before TSC makes any official decision.

  9. Next meeting: November 9. Location to be announced.
