Marty & Wes summarized two meetings with Public Services and Circ Supervisors. Agreement was reached; we will continue to separate book and disk into separate items. The new practice would be to label the disk as the appropriate medium (e.g. CD, or DVD as noted in the volume identifiers document) rather than use volume numbering. Noelle noted that this new practice would also avoid the need to label the book as volume 1. The T.S. Memorandum “Cataloging of items with accompanying materials” (formerly N.S. No.88-3) will be revised to reflect these decisions.
Wes reported a generally positive response overall. Due to concerns about security of the actual book, Sally and Wes are examining the addition of a second barcode to the physical piece as well as the initial barcode on the book jacket. Wes noted that public libraries do not double barcode their books so the preference is not to double label the items. Wes will bring a proposal of new procedures to the T.S. Dept. Heads for further consideration.
Rocki discussed a new document, Thesis Cataloging, dated 11/2/05 to be used as a policy and training document. The online version links to actual examples in OSCAR and lists of the codes used (e.g. Dept. Name and Degree Code) in cataloging. Magda suggested that these department names all be contributed to the LC Authority file as an item is cataloged. After considerable discussion of the problems related to embargoed dissertations, Sally suggested that perhaps we might need a slightly different workflow.
Noelle has not yet met with Nick (CMT) to discuss the STX transfer procedures; she will report on this at the next meeting.
She discussed the need to coordinate this revision with many other new documents currently under revision to incorporate new Millenium procedures. Noelle described this draft as an attempt to write an actual working document to help staff get started with item record maintenance. Sally noted that we need to create a document that not only serves as the master policy document, but also links to other documents dependent on these policies so when a change occurs, all policies can be readily updated. Noelle will contact Training Advisory Council to request training for all staff based on this documentation. Beth will work on inserting this document into the Circ Manual.
Magda reported that the meetings regarding the Copy Cataloging Guidelines were successful and the only remaining issues are between Cat and Mod. Magda will revise the guidelines to reflect these details.
